Edit an Approval Workflow Group

You may edit an approval workflow group to either update information about approvers, or to change the composition of an approval workflow group.

Step-by-step guide


 Show Me How to Edit an Approval Group
To edit an approval workflow group, perform the following steps:
  1. Click the 'Approval Workflow' button

  2. Select an existing approval workflow group from the 'Select Existing Group' dropdown menu

 Show Me How to Edit a Single Approval Group
If you would like to only change the composition of a single group, perform the following sub-steps:
  1. Create the new approver layout at the end of the current group composition (Add all new approvers at the very end of the current group in the desired order, even if this results in duplicates at the moment)

  2. Delete the old approver roster by clicking the red 'x' beside each Level (Remove all of the old approvers, keep all of the ones you just added)

  3. Click the 'Save' button to confirm the new group layout

 Show Me How to Edit a Single Approver Across Multiple Groups
If you would like to replace a single approver across all approver groups, perform the following sub-steps:
  1. Find the approver you want to replace in the appover group, and change their 'Full Name' and 'Email' as required

  2. Click the 'Save' button to confirm the replacement (Remember, this replaces the approver across ALL APPROVER GROUPS! Please follow the procedure in Step 3 above if you just want to change one group's layout)

Did you know: Approver group changes will only take effect on future timesheets. If you have any timesheets that are pending approval from an approval workflow group before you make changes to it, it will still be necessary to process the timesheet through the old group configuration. We recommend checking to see if there are any outstanding timesheets pending approval before making changes to an approval group, and using any required measures to get those timesheets taken care of before changing the workflow group.
